This Refunds Policy explains how CodexFlow handles refunds, withdrawals, cancellations, disputes, and complaints for purchases made through https://codexflow.io.

1. Operator and contact

CodexFlow is operated by Nova Group Sp. z o.o., Żurawia 6/12 Lok. 745, 00-503 Warszawa, Poland.

CodexFlow aims to respond within up to 14 days.

2. Current product model

CodexFlow currently sells digitally delivered software licenses and related digital services. Paid customers may receive secure access to a signed activation file, paid payload archive, payload manifest, integrity hashes, protected download page, and install documentation.

No physical product is shipped for a standard CodexFlow digital license purchase.

3. Digital delivery and immediate performance

At checkout, customers may be asked to expressly consent to immediate digital delivery and immediate performance before the statutory withdrawal period expires.

After verified payment confirmation, CodexFlow may generate the customer’s order, license, activation file, fulfillment artifacts, protected access link, and access/download evidence. Once performance begins, access is generated, or digital content is made available, the right of withdrawal and refund may be limited or lost to the extent permitted by EU and Polish consumer law.

This approach is used because digital software licenses and protected payload access cannot be returned in the same way as unused physical goods after delivery has begun.

4. General refund position for digital products

Payments for CodexFlow digital software licenses are generally non-refundable once:

  • immediate performance has started with the customer’s consent;
  • the digital content or secure access link has been delivered;
  • the activation file, payload manifest, payload archive, install guide, or protected customer page has been made available;
  • the license, activation, entitlement, or access token has been generated.

This does not limit mandatory consumer rights, statutory warranty rights, rights relating to defective digital content or digital services, or any rights that cannot be excluded under applicable law.

5. Cancellation before performance starts

If you contact CodexFlow at support@codexflow.io before payment is confirmed, before the license is issued, and before digital access or performance begins, CodexFlow may cancel the order or issue a refund where technically and commercially possible.

If payment has been authorized but not captured, CodexFlow may allow the authorization to expire or may cancel the payment where supported by the payment provider.

6. Access issues

If you paid for CodexFlow and did not receive access, contact support@codexflow.io. Include the checkout email, approximate payment time, selected tier, and any payment receipt or order reference.

Where payment is confirmed and the order is valid, CodexFlow will make reasonable efforts to restore access, resend the secure access link, regenerate appropriate access, or provide equivalent delivery.

A temporary email, spam-folder, payment-provider, hosting, or browser issue does not automatically create a refund right if the digital product was properly issued and CodexFlow can restore access.

7. Defective digital content or digital service

If the delivered digital content or digital service is defective, unavailable, not as described, or does not conform to the contract in a way covered by mandatory law, you may have statutory remedies. These may include repair, replacement, price reduction, termination, or refund where required by law.

CodexFlow may ask for reasonable diagnostic information, such as error messages, operating system, browser, checkout email, access timestamp, and installation logs with secrets removed.

8. Consumer statutory rights

Consumers in the European Union and Poland keep mandatory rights that cannot be excluded by this Policy.

Where a consumer has not consented to immediate performance or has not acknowledged loss of withdrawal rights where required by law, the statutory withdrawal rules may apply.

Where a consumer has expressly consented to immediate digital delivery or performance and acknowledged that the right of withdrawal may be lost after delivery or performance begins, CodexFlow may refuse withdrawal-based refunds to the extent permitted by law.

9. Business customers

For business customers and professional users, refunds are provided only where required by mandatory law, expressly stated at checkout, or agreed in writing by CodexFlow.

For one-time paid digital licenses used by business customers, payment is generally final once access is issued or performance begins.

10. Physical products

CodexFlow currently sells digital software licenses. If physical products are offered through the website, refunds and returns for physical goods will be handled according to applicable EU and Polish consumer law.

For physical goods, consumers may have a statutory withdrawal period where applicable. Goods must generally be returned in a condition permitted by law and within the applicable timeframe.

Custom-made, personalized, made-to-order, or customer-specified goods may be excluded from the standard right of withdrawal where legally permitted.

Sealed goods that are not suitable for return for health or hygiene reasons after opening, including relevant cosmetics, personal-care items, food-type products, or similar sealed goods, may be non-returnable where legally permitted.

Defective goods and statutory warranty rights remain protected where required by law.

11. Refund method and processing

Approved refunds are normally returned to the original payment method through the payment provider used for the purchase. Refund processing time depends on the payment provider, card issuer, bank, payment method, and currency.

CodexFlow may deduct or refuse amounts only where permitted by applicable law and payment-provider rules.

12. Chargebacks and disputes

If there is a problem with access, delivery, billing, duplicate payment, license tier, or product description, contact support@codexflow.io before opening a chargeback so the issue can be investigated quickly.

Opening a chargeback may require CodexFlow to provide evidence to the payment provider, including payment confirmation, accepted checkout disclosures, license issuance, activation generation, access link generation, download events, support messages, and technical delivery records.

Chargeback rights provided by card schemes or banks are not waived by this Policy, but misuse of chargebacks for a delivered and correctly described digital product may lead to access suspension or license revocation where permitted.

13. How to request a refund or complaint review

Send a message to support@codexflow.io with:

  • checkout email;
  • selected product tier;
  • order or payment reference, if available;
  • reason for the request;
  • screenshots or logs with secrets removed, if relevant;
  • whether you are a consumer, business customer, or entrepreneur with consumer-style rights under Polish law.

CodexFlow aims to respond within up to 14 days.
